Modern Health Insurance Provider workplace

Access to specialized applications directly out of Microsoft® Office

The joint project initiative between disserto management gmbh, Microsoft Germany and Combionic enables employees at Health Insurance Providers to efficiently access information from various business applications directly within Microsoft® Office.

The showcase scenarios are based on an existing specialized application, which is used by Health Insurance Providers in Germany: the supplementary charge (Zusatzbeitrag). Health Insurance Providers in Germany are able to charge their policy-holders if the flat-rate funding from the federally-administered 'healthcare fund' proves insufficient for the insurers. This process comprises a lot of communication with their insurants. Employees are working with different applications to process requests and therefore have to switch between applications  and search for information constantly, which takes a lot of time every day.

The following scenarios showcase, how Combionic Office Business Gateway (OBG) is used to bridge the gap between Microsoft® Office and the specialized applications. As the videos are in German with German comments, you will find an explanation for each scenario above every video.

Combionic Office Business Gateway: Connection of specialized applications and Microsoft® Office

  • On the left side you see the Microsoft® Office applications (e.g. Word, Excel® etc.) , where OBG can be used.
  • On the right side you see different example specialized applications, from 1 to n.
  • The information from the specialized application are provided directly within Microsoft Office through the Combionic Office Business Gateway.

Scenario 1 - Specialized application assigns new task to employee

  • The specialized application automatically sends new cases or tasks to the employees.
  • The employee views the document. An insurant sent a letter to the Health Insurance Provider. The system recognized that the bank details are wrong. The employee now has to check these details with the insurant by sending him a letter.
  • He opens OBG and selects the specialized application: Zusatzbeitrag. OBG recognizes the insurant number within the e-mail and shows only the relevant information.
  • The employee now selects a Word template and creates the letter. The templates can be stored within the specialized application or on SharePoint® Server.
  • Microsoft® Word is opened, the address line is already filled with the right information. The employee can now fill the template with text modules according to the case.
  • Then he stores the document to the SharePoint® Server. It also can be sent to the insurant immediately.

Scenario 2 - Sending e-mail out of Microsoft® Excel
  • The employee views a big table with data in Microsoft® Excel. The table only contains numbers, the employee doesn´t know the context of this information.
  • Therefore he marks one number and opens OBG. The context is displayed within OBG and the employee can now see, which insurant belongs to the number.
  • The employee decides to send an e-mail to the insurant. He clicks on the e-mail address, the new e-mail opens up.

Scenario 3 - Insurant reports new details
  • The employee receives an e-mail from the insurant, who reports his new bank details.
  • He opens OBG and selects the specialized application: Zusatzbeitrag. OBG recognizes the insurant number within the e-mail and shows only the relevant information.
  • The employee selects the tab Bank details. OBG automatically recognizes, that the details within the e-mail are different from the data stored in the system.
  • The employee only needs to click one button and OBG transfers the new bank details into the connected system.

Scenario 4 - Insurant sends letter with comments
  • The employee receives a message from the specialized application with the task to check an insurant letter. An insurant sent a completed form with new bank details, which contains handwritten comments.
  • He opens the letter and checks the handwritten comments. The insurant wants to go abroad for vacation and asks if the costs for a hepatitis A vaccination are covered by the Health Insurance Provider.
  • He opens OBG and selects the specialized application: Präventionen. OBG recognizes the insurant number within the e-mail and shows only the relevant information.
  • Now the employee has an overview about the vaccinations the insurant already received and can answer him based on these information.
