The Computacenter solution "E-File as a Service" provides the functional variety of an Electronic File System as a Service integrated within the User Interface of Microsoft® Office. The data is stored in the according Document Management System. The users work in their common User environment (e. g.Microsoft® Outlook®) and have access to E-Files in the context of their current task through the Office Business Gateway.

The scenario shows the typical environment of an administrative employee, who works mainly in Microsoft® Outlook®. Incoming e-mails with a reference to an E-File can be identified quickly and if relevant, assigned to the according E-File.

In this solution, the components of Combionic Office Business Gateway are used to recognize the relevant information in the subject line or within the content of the e-mail and then show the relevant information or E-Files from the Document Management System in the Office Business Gateway taskpane within Microsoft® Office. With a click of a mouse the user can view all information within the E-File up to single documents, which can be opened up directly out of the taskpane. The view of the information is reduced to a minimun, so the user can identify and select the relevant information fast and easy. Furthermore, with one click the user can add further information, such as e-mails to the E-File. These information are automatically added with the according Meta data. If there aren´t any E-File numbers within the e-mail or document, the user can search manually for the E-File number within the Office Business Gateway taskpane.

With this solution the users can file documents in their common environment without leaving the current application. This saves training costs, increases efficiency, productivity and user acceptance significantly.
